How we work

How we work: from a free process review to a system you own

The path from a first conversation to a system you run and own. A free process review, a fixed-fee discovery, a fixed quote per phase, and one team the whole way.

The four steps

From the first look to live, with one team.

  1. 1

    Understand

We learn how the business works, map the process and find where the work gets stuck, from the people who do it.

  2. 2

    Design

We fix the flaws and design a process that is repeatable and auditable: a controls matrix, clear roles and simple screens tested with the people who will use them.

  3. 3

    Automate

Working software in regular releases, with AI only where it adds value. We test in real conditions, including power and network failures.

  4. 4

    Support and improve

Monitoring, fixes and continuous improvement from the same team.

What changes

What actually changes.

From

The same data is typed into three systems.

To

Captured once, at the source, and checked automatically.

From

Month-end is a scramble and the numbers are still questioned.

To

Reports build themselves, and every figure traces back to its source.

From

Every branch does it differently.

To

One repeatable process, the same in every branch.

From

An override is a favour between colleagues.

To

An override needs a second approver and appears on the exceptions report.

The Synchrotech Standard

Every system we ship includes

  • A documented, repeatable process for every workflow the system runs
  • Role-based access with segregation of duties
  • Second approval on sensitive actions
  • Append-only audit trail
  • Automated reconciliation with an exceptions report
  • Offline mode with safe, repeat-proof sync
  • Monitoring, alerts and an incident runbook
  • Backups with a tested restore
  • POPIA-aligned handling of personal information
  • Documentation and a handover pack
  • Code, data and infrastructure in your name

Ownership

You own it. We stand behind it.

You own the code in your repository, the data in your databases, the infrastructure in your cloud account and the documentation. If you ever move on, you keep everything, with a handover pack so another team can take over.

Questions

Straight answers on cost, ownership, POPIA and load-shedding

What is a process review?

Free. We spend time with the people doing the work, see where it breaks down, and hand you a short list of what to fix first.

Do we need AI?

Not always. We are AI-first, but not all automation needs AI. We use AI where it adds real value, like Sophia understanding customer questions, and simple rules and automation where they do the job better.

Do we have to replace our existing systems?

No. We work with the systems you already run. We're not here to replace your ERP or legacy systems: we improve them and build what's missing in between.

What technology do you use?

Whatever the job needs, built to be scalable. We know when ECS Fargate beats API Gateway and Lambda, and when Go or Java will serve you better than Node.js. We make those calls and take on the technical debt, so you don’t inherit it.

Who owns the code and the data?

You do, from day one. Code lives in your repository, infrastructure in your cloud account and data in your databases. There are no licence fees on anything we build for you.

What happens if we stop working with you?

You keep everything: the source code in your repository, the data in your databases, the infrastructure in your cloud account, and the documentation and runbooks, with a handover pack so another team can take over.

How do your systems handle load-shedding and network failures?

Branch devices and apps keep working and save every transaction safely. When power and signal return, everything syncs and a reconciliation report confirms nothing was lost or counted twice.

How do you stop controls from being overridden?

Auditors assume management can override controls, and so do we, so the controls are enforced by the system rather than by a policy document. Roles are defined so no single person can create, approve and pay. Sensitive actions need a second approver. The audit trail records who, what, when and why, and cannot be edited. Where the business genuinely needs an override, it is possible, logged, and shown on the exceptions report.

Do you understand IFRS and audit requirements?

Balances, liabilities and revenue are modelled in line with IFRS, with your finance team and your auditors.

How do you handle POPIA?

We collect only what the system needs, restrict access by role and log access to personal information. Where we process personal information on your behalf, we sign an operator agreement. Client data is hosted in South Africa by default, in your own cloud account or on your own servers.

What does a project cost and how long does it take?

It depends on scope, so we start with a process review and a fixed-fee discovery sprint that ends in a fixed quote for phase one.

What support do you offer after launch?

A support plan with monitoring, incident response and continuous improvement, from the team that built the system.

Do you work outside Cape Town?

Yes. We are based in Cape Town and work with head offices across South Africa: on site for the process review and the design workshops, remote for the build, and the same team either way.

Can you complete our supplier onboarding?

Yes. Our company information is ready for onboarding forms, and the supporting documents are available on request.
